Job Description:
- Greets and screens incoming visitors in a professional manner and promptly notifies appropriate person of their arrival. Advises visitors on disclosures and lab wear requirements, and assists with any other special requirements during their wait.
- Responds to client needs while they are at APS including maintaining beverages (coffee, water, soda, etc), obtaining lunch for the client, arranging for transportation or lodging, etc.
- Answers multi-line telephone system, takes accurate messages and transfers telephone calls to the appropriate person in an efficient manner.
- Assists management with word processing, spreadsheets and databases as requested. Prepares correspondence and various documentation in proper format and proofreads and distributes as assigned.
- Manages conference room and meeting room schedules in order to accommodate the needs of multiple groups.
- Runs errands outside the facility to acquire supplies, client lunches or fulfill client requests as needed.
- Receives, sorts, and distributes incoming mail and prepares outgoing mail in a timely manner. Oversees and ensures the effectiveness of the inter-building tub mail system.
- Arranges for couriers or Fed Ex delivery of client material or internal material as required. Receives and signs for courier deliveries and notifies appropriate personnel that packages have arrived.
- Maintains inventory of office supplies and ensures that all items are ordered in a timely manner. Negotiates contracts and preferred pricing with vendors for office products and client services.
- Assists the accounting department by stamping the bills received, matching bills to purchase orders, and stamping paid bills according to established procedures. Files all paid bills and completed invoices according to established procedures.
- Assists the Finance/Admin and Human Resources departments with word processing, spreadsheets and databases as requested. Prepares correspondence and various documentation in proper format and proofreads/distributes as assigned.
- Maintains and protects both client confidentiality and APS business confidentiality at all times.
- Completes special department projects and duties (i.e., data collection, report creation, information maintenance, contacting personnel for routine updates, etc.) as required to support daily business operations.
- Keeps company document filing up to date according to established procedures.
- Performs all other duties as assigned.
Qualifications & Technical Competencies/Principal Duties and Responsibilities:

Qualifications and Skills:
- High school diploma or General Education Degree (GED).
- Minimum of three to five years experience in an administrative position desirable, preferably in a clinical laboratory setting.
- Must be able to clearly speak, write, read, and understand English.
Technical Competencies:
- Employee should have knowledge of the Microsoft product line including but not limited to Outlook, Word, Excel, Access, and PowerPoint.
